Privacy Policy

How information is handled when you visit echoone.ai, contact ECHO, or use our testing and messaging experiences.

1. Scope & contact

This policy describes information handled by ECHO ONE AI, also referred to as ECHO, Echo One AI, or ECHO ONE (“we,” “us,” or “our”) through echoone.ai, including public pages, contact and beta-access forms, user accounts, the Voice Readiness Lab, and the Echo One text messaging program. It does not replace an organization’s own privacy notice or a separate agreement governing a customer deployment.

For questions or requests about personal information, email support@echoone.ai, call 630-349-4002, or use our contact form, choose “General inquiry,” and begin your message with “Privacy request.” Provide a reply email and a brief description. Do not include passwords, identity documents, account numbers, or sensitive records in your initial message.

2. Information we collect

  • Information you submit: your name, email address, organization, inquiry topic, message, beta-access details, and any follow-up information you choose to provide.
  • SMS information: your mobile number, opt-in and consent records, messaging preferences, messages exchanged with us, and delivery or opt-out information associated with the messaging program.
  • Account information: display name, email, protected password credentials, invitations, account role and status, organization membership, sign-in activity, and session records.
  • Conversation and test information: speech and transcribed text, conversation context, AI responses, selected scenarios, feedback, scores, technical events, and records you submit or separately share for review.
  • Connected-service information: when an authorized integration is used, relevant business records, contact or case information, calendar availability or scheduling details, connection identifiers, and action results. The information depends on the enabled service and its permissions.
  • Technical information: request and device information, network addresses processed by hosting or security services, timestamps, errors, performance measurements, and security or audit records. Contact-form abuse protection uses hashed network-address and email fingerprints.

Information comes from you, your use of the service, authorized administrators, and connected services. Please use fictional or redacted details in formative tests and avoid submitting unnecessary personal or sensitive information about yourself or others.

3. How we use information

We use information to provide requested features; respond to inquiries and beta requests; manage accounts, invitations, and access; process conversations; operate authorized integrations; evaluate test outcomes; investigate errors; prevent abuse; and maintain security and audit records.

For the SMS program, we use mobile numbers, messages, and consent records to deliver the message types you opted in to receive, respond to requests, manage messaging preferences, and honor opt-outs. Providing a phone number alone does not enroll you. See the SMS Terms & Conditions below.

Test feedback and reviewed evidence can help improve ECHO’s behavior and evaluate proposed changes. Contact-form messages are used to review and respond to your inquiry and are not used to train an ECHO model. Processing needed to deliver an AI feature is distinct from ECHO’s review and learning workflows.

4. Voice, transcripts & learning

Voice processing: when you enable your microphone and start a voice session, audio is processed by the configured speech or AI services to transcribe your words and generate responses. The hosted Lab does not save raw microphone recordings. This does not mean that no information leaves your device or that every provider has zero retention.

Session history and scoring: Lab transcripts and review history may remain in your browser. A completed, scoreable conversation is sent to OpenAI for automatic scoring with response storage disabled. Limited results, including your signed-in identity, scenario, timing, turn counts, scores, readiness results, and critical-gate outcomes, are recorded for administrator insights. That analytics record excludes raw audio, transcript text, evidence quotes, and structured tester notes.

Separate review records: with separate sharing permission, redacted conversation excerpts can be saved for administrator investigation, summaries, and retesting. Other features, including connected case journeys, can store conversation turns and workflow state on the server. Do not assume that all text exists only in your browser.

Learning uploads: the learning workflow asks you to confirm permission to use the material. Uploaded audio is sent to OpenAI for transcription and discarded by ECHO after processing. Reviewed transcripts, analysis, and approved guidance can be saved. Automated redaction can miss personal information; review the text before approving it. Proposed guidance requires review before release and does not automatically become approved behavior.

5. Providers & sharing

Information needed for a feature may be processed by hosting, database, email, AI, and speech providers. The site uses Sites hosting on Cloudflare infrastructure; OpenAI supports relevant AI, transcription, and scoring functions; and Resend supports configured email delivery. Additional speech providers or business integrations may be enabled for a particular test or deployment.

Authorized ECHO administrators can access information appropriate to their role. When you use an organization’s connected workflow, information may also be provided to its authorized systems or recipients as part of that workflow. External links and services have their own privacy notices.

We may disclose information when required by law or when necessary to investigate abuse, protect people or systems, or establish or defend legal rights. The site does not include advertising pixels or a feature for selling personal information or sharing it for cross-context behavioral advertising.

SMS privacy

We do not sell or share your mobile number, SMS opt-in information, or consent records with third parties or affiliates for their marketing or promotional purposes.

We may provide information to service providers that help us operate and deliver the messaging program, solely for those purposes and subject to appropriate confidentiality protections.

Providers may process information in the United States or other countries. Their applicable terms, account settings, and retention controls govern their processing. Disabling AI response storage is not a promise that a provider retains no data. Ask us about the specific provider arrangement before supplying sensitive or regulated information.

6. Cookies & browser storage

We use session cookies for sign-in and related security functions. The Lab uses browser storage for local session and review history. These functions support the service rather than advertising. The current site does not use third-party advertising trackers.

You can block cookies, clear site data, or revoke microphone access through your browser. Blocking essential cookies may prevent sign-in. Clearing browser data removes local copies but does not remove server records, exported files, or provider-held information.

The site does not currently change its behavior in response to a browser’s Do Not Track signal. It does not operate cross-site advertising tracking. Any legally applicable opt-out preference signals remain subject to applicable law.

7. Retention & security

Retention varies by record type and feature. Browser history can remain until it is cleared or replaced by the Lab’s history limit. Account, inquiry, test, review, integration, and audit records may remain on the server after a session ends. There is no single automatic deletion period covering all these records.

We consider the purpose of a record, whether an account or inquiry remains active, review and troubleshooting needs, security, and legal obligations when responding to retention or deletion requests. Ask us about retention for a specific workflow before using it. Deleting one copy does not necessarily delete exports, backups, or provider records.

ECHO uses access checks, protected account credentials, and other safeguards described on our Security Standards page. No service can guarantee absolute security. Restrict access to shared devices and sign out when finished.

8. Your choices & rights

You can choose what to include in an inquiry, decline optional sharing, stop a voice session, revoke microphone access, and ask an administrator about disabling a connected service. Withdrawing permission for future processing does not undo processing already completed.

Depending on your location and the law applicable to ECHO’s processing, you may have rights to access or obtain a copy of personal information, correct inaccuracies, request deletion, restrict or object to processing, withdraw consent, or appeal a decision. You may also have the right to complain to your local privacy regulator. These rights can be subject to verification and legal exceptions.

Use our contact form to request access, correction, deletion, or help with a privacy choice. We may need to verify your identity and the scope of your request before acting. An authorized representative may contact us on your behalf with appropriate authority. We will handle applicable requests within the time required by law and explain any limitation. We do not penalize you for exercising applicable privacy rights.

To unsubscribe from the Echo One SMS program, reply STOP to any program message. Reply HELP for assistance, or contact support@echoone.ai or 630-349-4002.

For information controlled by an organization using ECHO, contact that organization as well. Its administrator or privacy team may need to handle the request under its own policies and agreements.

9. Children

ECHO’s website and testing services are intended for adults and professional use, not children under 13. Do not submit a child’s personal information for testing. If you believe a child has provided personal information, contact us so we can investigate and address it.

10. Policy updates

We may update this policy as features and data practices change. The revised policy will appear on this page with an updated effective date. Where required, we will provide additional notice or obtain consent before a material change takes effect.

These SMS Terms & Conditions apply to the Echo One text messaging program operated by ECHO ONE AI (“Echo One AI,” “ECHO ONE,” “we,” “us,” or “our”).

Program Description

The Echo One messaging program provides text messages related to your inquiries and interactions with us. Messages may include responses to customer support requests, appointment confirmations and reminders, service updates, and follow-ups you have requested.

Consent to Receive Messages

By opting in to the Echo One messaging program, you agree to receive text messages from us at the mobile number you provide, including messages sent using automated technology.

Your consent applies to the message types described when you enroll. Providing your phone number alone does not enroll you in the program. Consent to receive text messages is not a condition of purchasing any goods or services.

You confirm that you are the subscriber or authorized user of the mobile number provided.

Message Frequency and Charges

Message frequency varies based on your requests, appointments, and interactions with Echo One.

Message and data rates may apply. Your mobile carrier’s standard messaging and data charges apply to messages sent and received. Contact your carrier for details about your plan.

How to Opt Out

Reply STOP to any Echo One text message to unsubscribe at any time. After you opt out, you may receive one final message confirming your cancellation. You will receive no further messages from this program unless you opt in again.

To rejoin, complete the program’s enrollment process again.

Privacy

Our Privacy Policy explains how we collect, use, and protect your information.

We may provide information to service providers that help us operate and deliver the messaging program, solely for those purposes and subject to appropriate confidentiality protections.

Message Delivery

Message delivery depends on your mobile carrier and network availability. Delivery may be delayed or unavailable in some circumstances. Carriers are not liable for delayed or undelivered messages.

Changes to Your Mobile Number

If you change or discontinue your mobile number, please opt out of the program and notify us using the contact information above before giving up the number.

Changes to These Terms

We may update these terms from time to time. Updates will be posted on this page with a revised effective date. If a change requires renewed consent, we will obtain that consent before sending messages covered by the change.
